The Project & Community Coordinator a permanent full-time position within the Balarinji team. This integral role will be working as a part of a small established and dedicated team in the delivery of a variety of work, where no two days are the same. Reporting to the Account Manager - Arts, this role works alongside Project Management, Business Development, and Design. In collaboration with our studio team, you will work across a diverse breadth of client deliveries, that includes but are not limited to community stakeholder engagement and project coordination.

We assist our national and international clients to express Australian identity through best practice strategic review and planning, Indigenous engagement, construction, interiors, public art, digital and design, and communications. Balarinji's affiliated not-for-profit, the Moriarty Foundation, run separately, is an initiative that enables Aboriginal families and communities to unlock the potential of their children, to radically shift intergenerational disadvantage

Role Outline:

Stakeholder & Community Engagement

  • To build positive relationships with key stakeholders from a diverse range of community groups and to assist with engagement required across projects.
  • To provide specialist advice regarding Indigenous community engagement.
  • To work closely with relevant community groups and other stakeholders to discuss project opportunities, as well as develop and implement engagement strategies.
  • Establish, expand, develop and maintain strong community networks.
  • Coordinate, facilitate, and attend Indigenous community consultations and workshops.
  • To drive, implement and output written reports summarising project consultations.

Research

  • Research and identify appropriate stakeholders in consultation with Local Land Councils and key Aboriginal organisations.
  • Develop community stakeholder engagement plans.

Project

  • Develop timelines, budgets, and reporting in collaboration with the project team and finance.
  • Preparation, editing, and formatting of new contracts, collateral, reports, pitches documentation, project timelines, project spreadsheets, databases, and updating where required.
  • Researching elements of deliverables in line with project frameworks.
  • Project reporting; closeout reports and project analysis.
  • Sourcing examples of work for new pitches.
  • Liaise with stakeholders, suppliers, and fabricators in regards to quotes, specifications, purchase orders, warranties, and contracts.
  • Assist with document proofreading.
  • Efficient, logical, and structured file management of all collateral and documents on the Balarinji server.
  • Updating and maintaining community network and client information.
  • As required any other additional project or ad hoc tasks.

Position Qualification & Experience Requirements:

  • Competency and experience in the Indigenous environment /and or creative industries.
  • 3+ years’ experience in a stakeholder or project environment.
  • Well-developed stakeholder management skills with the ability to build and influence successful partnerships and networks.
  • Experience working in cross-cultural environments and coordinating community engagement activities.
  • Have a knowledge and understanding of the dynamics and protocols of Aboriginal and Torres Strait Islander cultures and be experienced in communicating effectively with local communities.
  • Proven experience in the delivery of information to Indigenous communities in a culturally appropriate manner.
  • Detail orientated with a very high level of accuracy, with the ability to work autonomously as well as cohesively as part of a small team.
  • Strong interpersonal and communication skills, both written and verbal.
  • A proactive and flexible attitude, with the desire to achieve, the ability to work in a fast-paced environment, and willingness to work through challenging situations.
  • A commitment to high quality with a warm, helpful internal and external community and client service focus.
  • Systems–orientated with excellent computer proficiency, including intermediate to advanced skills in MS Office on Mac platform, primarily Excel, Word and Powerpoint.
  • Experience using Workflow Max, Smartsheets, and Asana desirable but not essential.
