About The Role


It definitely requires a specialist to be an Event Coordinator. Not only do you need to carry the CTM commitment to exceptional client service (and all the technical expertise), but an Event Coordinator holds additional pressures of high volume workload, with clear peaks during the year. While all our positions in CTM carry an obvious commitment to accuracy and attention to detail, an Event Coordinator does require a specialist mindset in this regard. The high volume and peaks (and resulting pressure) is not an environment suited to everyone! It is important to also formally recognise the specialist arm of the business and the fantastic role our team do in this regard.


An Event Coordinator at CTM will generally be employed with event management experience. The Events Coordinator role will be trained across both the Event and Group Travel sectors of the business, to support the existing team and gain a broader working understanding of the industry. The role also encompasses general support to the running of the day to day business including answering phones, maintaining files and taking minutes of meetings. Essentially there are a range of tasks that this role will support, so ability to prioritise your time and speak up when you need help will be key to your success.

Key responsibilities

  • All requirements related to event coordination
  • Working closely with Event & Travel Managers as support with their groups and events
  • General administration assistance
  • Registration assistance, Events Air and/or Etouches
  • Flight quoting in Sabre & creating travel itineraries in Tramada
  • Quoting and use of airline group portals, Virgin, Qantas & Jetstar
  • Preparation of onsite documentation
  • Onsite event assistance where applicable
  • Offer professional advice and suggestions to ensure customer expectations are met and exceeded

Skills and Experience

  • An understanding of the events and tourism industry
  • Tertiary education preferred
  • 1 year of experience in Event Management preferred
  • Strong attention to detail
  • Excellent written and verbal communication skills
  • Exceptional organisational, time management and multi-tasking skills
  • Intermediate knowledge of Word, Excel and PowerPoint
  • Knowledge of Events software “EventsAir” preferred
